Guide for Translators

Your translations help deepen the reach of Heaven's light! Thank you for you divine gift of love. To be a translator of Heavenletters™ is a service of love. You join a global circle of expanding light when you become part of the Volunteer Angel Translation team. All your readers and all members of this Heavenletter community thank you for expanding Heavenletters.

Translating is more than a science. The heart and consciousness of the translator play a great part. Heavenletter translators reflect their allegiance to what God is saying by going by the original Source. God's words often have subtle nuances. A translator has uppermost in his mind to accurately express God's intent in his translation. A translator stays in close alignment with the intent of the original English Heavenletter.

When there is a question, please ask! God may often use colloquial expressions that have no equivalent in your language and the meaning may not be clear to you.

When a translator has questions about the interpretation of a colloquial expression, for example, it is best that he or she go to the Global Translator Circle http://www.heavenletters.org/global-translators-circle and post his question. Other translators will respond, and Gloria will as well. If you have a question, it is likely that others have your same question Be the first to ask a question.

How to add a Reader Comment

  1. Login
  2. Click "Create Content" -> "Reader Comments"
  3. Complete the form including the Name, occupation, location fields.
  4. Upload the picture and complete the alternate text and title fields. Use the same content as in the Name, occupation and location field.
  5. Submit
  6. Notify a site editor to review -> Santhan (Heaven Admin), Normand or Nancy (pinksngirl),

How to add Heavenletters to the website

This guide is for members of the archiving team and editors

Process Summary

  1. Log in to Heavenletters website
  2. Click on Create Content (On the bottom right "User Navigation" menu)
  3. Click on Heaven Letters
  4. Enter the Published Number
  5. Select the Published Date
  6. Set the proofed field to proofed or unproofed. Unproofed is default
  7. Set the Date written on field
  8. Paste the content of the Heavenletter into the Body field.
  9. Set the schedule date for the Heavenletter to be published on - Scheduling options
  10. Click Submit

[Temporary note about a "quirk" in this system: The default language of "English" is not available when creating the Heavenletter. To fix this, after submitting the Heavenletter, please click "edit" then submit the Heavenletter again to have the default language set as "English". This "quirk" will be resolved in the upgrade of the website.]

Process in more detail

6) Set the "proofed:" field to proofed or unproofed. Proofed is default
If you are adding a Heavenletter that has to be edited, reviewed and proofed, it means that the Heavenletter is not ready for publishing. Set the proofed status to unproofed so that the Heavenletter listing shows Heavenletters that require "work".

7) Set the Date written on field
This field was added on June 7 2009, and allows us to keep on record the date that Gloria scribed the Heavenletter. The list of Heavenletters that editors receive will have the "written on" date. Please add this accordingly.

8) Paste the content of the Heavenletter into the Body field.
Sometimes the Heavenletters are copied and pasted from MS Word documents which may create additional line breaks when pasted into the Body field. There exists a utility on the Heavenletters website called Text Fixer, which removes the additional line breaks. The link for this utility is in the Admin Tools. 9) Set the schedule date for the Heavenletter to be published on
Heavenletters are added to the site in advance. Each Heavenletter has a specified date on which it will be automatically published on. Using the Scheduling Options fields, set the date this Heavenletter must be published on. There is a calender tool below the field to set the date, or one may type in the date using the format of the example that appears below the field.

Theming/tagging Heavenletters

Creating themes for Heavenletters are optional and can be done at anytime by other volunteers. Add themes only if you feel moved to.

Themes/tags can be 1-4 word phrases. When you type in a theme/tag, the box will do a search for related themes. Rather than creating a new theme/tag, try to use an existing theme. Eg. The big universe and universe are related. If you see a theme/tag called universe already exists in the database, use it rather than create a new theme/tag called the big universe. The themes/tags are case sensitive so Universe and universe are different. Therefore, type all themes/tags in lower case except for words in reference to God.

How to add or remove someone to/from the mailinglist

You will require at least an email address to subscribe someone.

The person will receive an optin confirmation email which will contain a confirmation link. The new subscriber must click the link to confirn subscription.

1) To unsubscribe scroll down to the bottom of the subscription page and click the unsubscribe link

How to create Heaven News

Heaven News is published 1-2 times a month with possibility of more publications. This document is for the author/s and editor/s of Heaven News. It specifies the format on how Heaven News should be submitted to the person responsible (publisher) for the final preparation, publication and mail out of the newsletter to subscribers.

Heaven News has the following standard sections that are featured in every Heaven News...

  1. Opening God Quote
  2. Welcome New Subscribers
  3. Godwriting blog entries
  4. Featured Forum topics (occasionally)
  5. Message from Heaven's creative director (occasionally)
  6. Awareness about donations (occasionally)
  7. Ending God Quote

Between section #2 and #3 are a variety of news items, each forming their own section with title.

How to send and format Heaven News to the publisher
Heaven News must be submitted as a MS Word document without any formatting other than bold, italics and underline. No font colors, headings, html tags etc are required

1) For each section provide a clear title followed by the content. Each section should be numbered (1,2,3,4...) as below. Next to the number, fill in the title. In the next line enter the content of the section formatted as desired.

2) Text must be formatted using MS Word as any other document. Formatting allowed: Bold, Underline, Italics
3) Quotations must be wrapped with " quotation marks only. No indent required.
4) Once complete the document must be attached and sent via email to santhan [at] mojahmedia [dot] net
5) Photos must be submitted as attachments to the email. Place [photo: filename.jpg] within the body of the news section where the photo must appear.

Review of Heaven News

Heaven News will be sent as a preview version to editor/s prior to sending to the list. Any changes or edits to existing content must be conducted on the preview email and sent back to santhan [at] mojahmedia [dot] net. Please change word additions/edits to a red font color and make bold.

Additional sections must be sent via separate email with a clear email subject related to the Heaven News. eg: Additional section for March 1, 2008 Heaven News.

How to find a registered users profile, contact details and posts

How to find the registered user
1) Login using your administrator username and password.
2) On the right menu towards the bottom click on User Management -> Search users
3) Fill in the persons username and click Search

How to track all the users posts
On their profile page click the track tab above their user name

How to login to Heavenletter webmail accounts

All email accounts on Heavenletters can be accessed via a browser from any pc connected to the net.
1) Bookmark this url: http://www.heavenletters.org/squirrelmail/src/login.php Go here to login to webmail.
2) Using your username (the email address in full) and password, login
3) Remember to logout when finished

*Notes
When looking in the webmail inbox, dark links indicate an email has not been read by any Heaven helpers
Its best practice to move emails that have been answered to the "sent" mail folder

How to move emails to a folder like the sent mails folder
1) Click on Inbox
2) Select the email by checking the checkbox alongside it
3) From the "move selected to" list select a folder and click move

How to respond to reader emails

Here are some examples of correspondence between Gloria and readers. These should be used as guides when responding to readers.

Subscription problems

Dear Mary Ann,

I have updated your subscription and set your account to active and
subscribed. I noticed that your account was previously set as "permanently
bounced. This usually happens when an email service provider rejects
emails that are considered to be spam.

Sometimes Heavenletters may be sent to your bulk mail or spam mail folder.
In some cases the entire Heavenletter is rejected. Our mailinglist
software will mark an email address as "permanently bounced" if
Heavenletters are rejected more than 5 times.

Please see if u can try the following if Heavenletters *don't* arrive from
tomorrow...
- Add www.heavenletters.org to your white list
- add heaven [at] heavenletters [dot] org to your address book and white list
- if unsure how to do the above contact your email service administrator
and tell them you want to receive emails from www.heavenletters.org

How to schedule a Heavenletter to be published for the week in advance

The English Heavenletter publishing queue can be found here: http://heavenletters.org/heavenletters-admin.html. Every morning the mailing list sends out the Heavenletter for that morning.

This is how to schedule the Heavenletters to be automatically published in advance. Its best to have about a week of Heavenletters scheduled in the publishing queue.

1) Click Create Content -> Heavenletters
2) Fill in the Heavenletter information. Make sure the Publish Date and Publish Number are correct
3) Scroll down to Scheduling options (Fig 1). Expand it. Fill in the date to be published in the correct format (Fig 2).

4) Submit.

The Heavenletter will automatically be published on the date and time you set it for. Heavenletters are set to be published at 00:30:00 server time. https://heavenletters.org/sites/heavenletters.org/files/1646-checked.mp3

How to send out translations to non-English subscribers

Here is a step by step on how to add a translation to the website

1) Log into the main Heavenletters website and go to the English version of the Heavenletter or regular page

2) Click on the "Translations" tab which appears above the title of the Heavenletter

3) Click "Create Translation" next to the language you wish to add a translation for

4) Complete the Translation form (the English content that appears in the form by default should be replaced by the translations)
a) On the translation form, the language will be automatically selected according to "Create Translation" link clicked in the previous step
b) Add the translated title into the title field
c) Complete the "Translated by" field. This will autoselect the translators username (The same as your Heavenletters website username)
d) Add the translated content into the body content text area field.
e) Save/Submit the form
IMPORTANT: Leave all other form fields as they are.

5) Click the OEM [language] link under admin tools. This will create a text file package of the Heavenletter which will then be sent out to the list using another program

6) Switch the site back to English language for the next translations

7) Log into http://mail.mflw.us/mailer/admin/index.php and send the translation to the appropriate list
a) Click browse campaigns
b) Find the "campaign" for the language you are sending
c) Click the "email" or "envelope" icon and preview the message by sending it to your email account. Check your email to ensure the correct letter has arrived. Alternatively, click the preview in browser icon, which looks like a house and a pop up window will show the translated Heavenletter that will go out.
d) Click the green arrow icon
e) Click the green "resend" button
f) Click trigger send engine (no longer necessary as the system sends out email every 5 minutes automatically)

Good job! Now go have a cookie.

Procedure for moderating forum posts and website comments

First step: Login!

Comments Management

To moderate a comment
1) Navigate to the comment you wish to moderate.
2) Click the edit link which is on the bottom right of every comment between the delete and reply links.
3) On the next screen click the "Administration" link which will expand the admin options.
4) Change the "Status" from published to unpublished.
5) Click "Post comment" to save it

*Note: Unpublished comments will appear with a pink background. Comments by the author will have a blue border.

A listing of published and unpublished comments are available in the comment queue. The links to these listings are in the Admin Tools menu.

To delete or publish an unpublished comment, select publish or delete from the update options list, check the comments for updating and click "Update"

For Forum topics...

1) Navigate to the Forum topic
2) Click the "Edit" tab on top
3) Click "Publishing Options" at the bottom, just above the "Preview, Submit, Delete" buttons
4) Deselect the "Published" checkbox
5) Click "Submit"

When unpublishing posts or comments a quick email should be sent to the user. One may use the "Contact form" in the users profile section or send an email directly.

Please note by unpublishing the forum topic or comment, the comment will go into the moderators queue and the topic will be unpublished. It will not be visible to readers, but only to site administrators. This is best practice. It helps us keep a record of the poster and post for review, if it is so required. It is suggested that a comment or post is unpublished by the first moderator and deleted by a second moderator.

Tweeting on Twitter

Are you interested in sending selected Heaven quotes out to Heaven's Twitter followers? Here's the way we do it and how to set it up on your system.

1) Heaven does not follow anyone. You will notice Heaven is following 0 people. So once you have access to Heaven's Twitter account, please make sure you don't follow anyone.

2) URL shortening service: http://bit.ly/ - this is the service we use for shortening urls of the Heavenletter the quote comes from. Create an account there. From your bit.ly account, you will be able to post directly to Heaven's Twitter account.

3) Keywords. Examples: #heaven #perfection #enlightenment #relationship #DivineRelationship - create related keywords for your tweet and put # sign before it. Notice that there are no spaces between words in a key phrase. Instead, each word in the key phrase is capitalized like in #DivingRelationship. Another example: #SanthanIsCool

4) Not all quotes have to point back to the original Heavenletter. Let's say you tweet 5 quotes from 1 Heavenletter. Then only one of those tweets should have the permalink of the Heavenletter shortened by bit.ly

5) Get Heaven's username and password for Twitter from Santhan or Gloria.

What to do if English HL has not been sent to the mailing list

You may notice that the Heavenletter for the day has not yet been received. Heavenletters should be in your inbox by 9:30am South African time. If its not there, it means that something may be stuck somewhere. This may be a server error that that has jammed OEM (our newsletter management program).

1. Login into OEM on using your username and password: http://consciouspeople.org/mailer/admin/index.php
2. One you have logged in, you will be redirected to the Dashboard which will show the last 3 email "campaigns" sent and any currently "sending" campaigns. Usually if the campaign has got "stuck" you will notice a red sending button next to the campaign. Click the "Reports" link, which is the last button on the same line of the campaign. It looks like a green arrow in a box. Wait for the page to load completely.
3. Click the "Newsletter HTML version" link to ensure OEM is loading the correct Heavenletter. A window will pop up and display the Heavenletter that will be mailed to the mailing list
a) If OEM is loading the incorrect Heavenletter, go directly to the www.heavenletters.org website and click the OEM English link in the Admin tools menu. Make sure that the correct Heavenletter for the day is showing on the website.
b) Go back to OEM and click the "Newsletter HTML version" link again to ensure it displays the correct Heavenletter.
4. Click the RED PAUSE button.
5. Once the page has loaded then press the GREEN RESUME button
6. Once the page has loaded click the "trigger send engine" link
7. If all of the above does not work, immediately send an email to Mauro, Mariano or Santhan and then get confirmation from them that the problem has been acknowledged.
